  • Serena and her team serve ambitious entrepreneurial women across the globe. Serena Shoup, CPA is an accountant, business mentor, and host of the Ambitious Bookkeeper Podcast, launching in 2021.

Serena’s companies are designed to encourage, educate, and promote entrepreneurial women with educational content and training, a community support system, masterminding, coaching, and in the future, retreats.

WORK WITH AMAZING PEOPLE

Serena Shoup, CPA, CEO and Founder of the Ambitious Bookkeeper Community and Podcast, helps high-achieving women entrepreneurs in the accounting field ditch the corporate 9-5 grind by building a virtual bookkeeping or accounting firm.

The rest of the team is currently made up of moms also working part time from their own homes from AZ to WA, supporting the accounting firm and the Ambitious Bookkeeper Community.

The Ambitious Bookkeeper community consists of enthusiastic bookkeepers and accountants that are just starting out in their entrepreneurial journey. 

ShoupCPA serves many ambitious entrepreneurs also in the online education sector (online course creators and coaches).

We’re currently hiring for the following positions:

EXECUTIVE ASSISTANT

Hours: 10+ hours per week; Part-Time with potential to full-time as business grows

Location: Prescott, AZ 

 

THE POSITION OVERVIEW

The Executive Assistant’s main function is to provide high-level support to our CEO, Serena. The goal of this position is to own and lead administrative tasks, both business-related and personal, enabling the CEO to focus on actions related to business development.

In short, your role is to continually find ways to save Serena time by coordinating her business and personal calendars, communicating with team members, vendors, and personal contacts and attacking the growing to-do list of a rapidly expanding business.

This is a part-time position with the potential for full-time and reports directly to the CEO, while also working closely with members of her team. North American travel to live events to play a support role may be required in the future.

THE OPPORTUNITY

We are seeking a calm yet agile, detail oriented Executive Assistant who is fueled by providing top-notch service, enjoys collaborating with team members and who has experience supporting online entrepreneurs who often pivot directions.

If you live within a 45-minute drive to Prescott, AZ, and are looking to utilize your superior organizational skills and talents that allow you to contribute to a premier organization, we invite you to apply.

You must be available to work in person 5 days a week if needed. Some weeks are flexible and fewer in-person days will be required. You will also work virtually and 1-2 hours on one weekend day is required.

The ideal candidate for this position will have a high level of decorum and discretion that is second to none. You possess a “sixth sense” that allows you to be 2 steps ahead of the leader at all times. You will have experience serving online entrepreneurs and have a good understanding of both technical and business vocabulary.

You will be able to travel, provide support and value at live events acting as your leader “handler” ensuring she is focused, and ready to serve her community.

You are adept at working effectively with a wide variety of people inside and outside the organization, acting as an extension of your leader and her brands.

You are comfortable with social media, currently participate in Facebook groups, and are also comfortable with online tools.

A master of the business and personal calendar and can type 45 wpm.

Willing to course correct your leader when necessary to avoid misalignment of her goals and strategies.

Intrigued about continual improvement of systems and work processes.

Understanding of the needs of an online entrepreneur who leads a full life, has family commitments, and who also embrace a holistic lifestyle.

Possess great communication skills and know-how that help facilitate respect, ease and flow with your leader and her extended team.

Trustworthy and can be counted upon to safeguard the confidentiality of not only our business but our clients as well.

Free to travel within North America to live events to support Serena as her on-site assistant should the opportunity arise.

THE ROLE

Manage/organize the CEO’s very active business and personal calendars to maximize her efficiency in a manner that honors long-standing commitments while incorporating new demands as they arise.

Provide attention to detail as you prepare documents and various correspondence leading to long-term screening and execution of email and website inquiries.

Evaluate the priority of incoming correspondence and redirect to the extended team accordingly and maintain electronic filing systems.

Organize logistics for both brands’ programs such as special projects or events, client meetings, including CEO business and personal travel, group reservations, transportation and amenities.

Provide assistance in the creation of communications to various recipients (Vendors and suppliers, extended team members, community at large).

Assist in the preparation of multimedia presentation materials and collateral

Complete various administrative duties as required, such a process and invoices, general inquiries, company mailings, shipments, and deliveries.

Provide support to execute marketing campaigns (via online platforms like Kajabi, ClickFunnels and Facebook ads), assist in the client/mastermind group sessions by providing real-time note taking, book podcast guests, manage speaking or appearance requests, coordinate podcast episode graphics.

Provide high level, hands-on support at live events serving the CEO.

Provide up to 5 hours a week support for other team members.

 

A TYPICAL DAY MAY LOOK LIKE

Monitor notifications on Voxer for messages from the CEO and her Team.

Check and process Serena’s business and personal email accounts and alert her of anything pressing.

Research and order client gifts.

Create a spreadsheet to track gift orders.

Book dental & doctor appointments for the Shoup family.

Confirm transportation specifics with the retreat accommodations venue.

Create a document capturing email contacts and bio information for Mastermind participants.

Connect with the graphics designer to ensure marketing materials for the next podcast series is confirmed.

Coordinate with a podcast guest to get their bio and headshot.

Add children’s school events to Serena’s personal calendar.

Call Event Planner to schedule next in-person meet up with you and Serena.

PART TIME BOOKKEEPER

This is a part-time virtual position, requiring standard office hours with the potential for full-time and reports directly to the CEO, while also working closely with members of her team.

This position will perform various bookkeeping tasks for clients of ShoupCPA using the following tools:

ReceiptBank, Hubdoc, Xero, QBO, Asana, Slack and more

RESPONSIBILITIES FOR BOOKKEEPER

  • Perform payroll functions in an accurate and timely manner, and submit payroll taxes

  • Conduct reconciliation of all accounts on an as needed basis

  • Maintain and balance the general ledger in an accurate, complete, and up-to-date manner

  • Perform all activities related to the accounts payable function including reviewing, coding, and processing payments

  • Perform accounts receivable functions including invoicing, deposits, collections, and revenue recognition

  • Prepare financial reports through collection, analysis, and summarization of data

  • Interpret and apply accounting policies, rules, and regulations to all work in order to ensure compliance with applicable standards

  • Interact with clients as needed for obtaining information in a friendly and professional manner

QUALIFICATIONS FOR BOOKKEEPER

  • Associates or Bachelors degree (or in process) in Accounting, Finance, or related field

  • Thorough knowledge and understanding of GAAP

  • Strong verbal and written communication skills

  • Proficient skills in QuickBooks Online, Xero and Microsoft Excel and comfortable with using the latest software and technology

  • Experience with accounts payable, accounts receivable, payroll, and general ledger

  • High degree of accuracy and attention to detail
