We are looking for a Rockstar Account Manager to join our team!

Let's get the bad news outta the way first:


🔘 The hours start around 10-15 hours per week BUT as you (and we) grow, this can become a fulltime position with our company, so we're looking for someone who's in it to win it. Hours may increase during busy seasons or month end (but honestly, nothing like most accounting firms).

 

🔘 If you're looking to work with us and build your own business, then this is not the right role for you (see above). 😭

 

🔘 We're looking for someone who can add to our team with these part-time hours, but feel like this could be their full-time home, and this is NOT a fit if you're trying to build your own biz.

 

🔘 We require all hands-on-deck and more hours during busy times to support the influx of work required (while we support taking vacations, we probably won't approve requests for time off right around crucial deadlines (January 31, Month End Close, etc).

  1. WE WORK REMOTELY (AKA VIRTUALLYđŸ’»)... Which means you don't have to wear 'business casual' or sit in traffic. You can come to work in your PJs or yoga pants. Whatever floats your boat. Just please wear clothes.

  2. THE HOURS ARE FLEXIBLE...
    We'll work with you to create a schedule & routine that is good for us both. Our only requirement is that you show up for weekly team huddles (Thursday mornings), hit your deadlines, and be within one of the US timezones. We support clients across the US & our HQ is in Arizona (we run the business on Pacific Time).

  3. THE WORK IS ACCOUNTING, BUT IT'S STILL FUN & YOU'RE MAKING A DIFFERENCE!
    You'll be handling and/or overseeing the accounting for 10-15 online business clients who are doing incredible things. You'll be communicating with clients for missing information and working as a team with the bookkeeper to get accurate and timely information to our clients so they can make a bigger impact too.

Must Haves:

✅ A superior grasp of the English language and can communicate verbally and in writing without coming across brash and abrasive to clients (soft skills are important!)

✅ An associates or bachelors degree in accounting or a bookkeeping certificate and has a firm grasp on debits and credits

✅ Have worked 1-3 years in some sort of bookkeeping or accounting role, whether private, public, or a small business and comfortable client-facing

✅ Ambitious, self-motivated, and enjoys problem solving

✅ Always thinking 5 steps ahead and takes initiative

✅ Love for researching & answering questions—being the 'go-to person'

✅ Flexible with shifting priorities and managing time

❌ Not a procrastinator

✅ Comfortable on Zoom & camera

✅ Available for weekly team meetings and/or 1-1s, daily checkins and checkouts (via Slack)

✅ Must be willing to document and improve all systems + processes (We use Loom to record processes, Notion to document them, & Asana to execute them)

✅ Comfortable working independently with technology and in a 100% cloud-based environment (no paper!)

Preferred:

➕ Interested in or actively pursuing CPA (our CEO & Founder is a CPA, so we can help you with getting those hours of experience)

➕ Has knowledge of cloud-based technology & comfortable with iOS (Mac). Some of the systems we use (and can train you on): Google Workspace, Gusto, Stripe, PayPal, Xero, Asana, Notion, Excel/Google Sheets, Slack, Canva, Shopify, Dubsado, Spark, Hubdoc, Adobe Acrobat, 1Password, TaxJar)

Responsibilities + Role


ACCOUNT MANAGER:

 

The Client Manager is responsible for the overall relationship with the client, ensuring deadlines are met and communication is transparent & open with clients, driving customer satisfaction and consistency of client services.

We need a positive team player who thrives on getting sh** done (and doesn't mind a few swears). You need to be detail oriented. In fact, we're so serious about that, that there's a secret subject line you need to use in your job application, just to prove how detailed you are! Here's what else we'll need from you:

      • Review monthly bookkeeping/accounting:
        • Review financial statements for inaccuracies/inconsistencies
        • Review Bank Reconciliations
        • Review Balance Sheet & Cash Flows
        • Communicate with Bookkeeper/Accountant about rework/issues or handoff
      • Ensure financials are delivered to clients with summary by deadline
      • Ensure appropriate response time for client communications according to client scope
      • Your Secret Subject line: Rockstar Account Manager
      • Manage Onboarding of new clients, including:
        • Monitor onboarding automations in Dubsado
        • Setup project management in Asana
        • Setup of Client Folders in Google Workpace
        • Xero File
        • Setup of Hubdoc
        • Setup of Payroll in Gusto
        • Collect new client documents & followup when needed
        • Lead Client Onboarding Meetings
        • Add client email to email marketing system (Kajabi)
      • Establish & document scope & process for client workflows
      • Perform Diagnostic of Books and/or catchup cleanup of client books
      • Update Client Nuances information
      • Hand off New clients to Staff Accountant or Bookkeeper
      • Perform monthly trend analysis on client financials
      • Interpret Financial Data for meeting with Client
      • Summarize financials & KPIs for client meetings, emails, or loom videos
      • Communicate process changes with bookkeepers
      • Lock periods in Xero after final financials are issued each month
      • Meet with Clients or send Loom videos each month or quarter
      • Review year end 1099s
      • Review Payroll Reports for accuracy
      • Register and File for Sales Tax or Payroll Tax in various jurisdictions
      • Monitor client annual corporate filing
      • Update Asana, keep status notes, and check off tasks when completed
      • Organize Standard Operating Procedures (SOPs) in Notion and make note of any suggestions for improvements + take initiative to improve + update SOPs when needed
      • Utilize Xero Ask for all client requests (queries) or missing info
      • Attend weekly team meetings
      • Check in and out in Slack daily
      • 30-45 minutes per week of continuing education (specific education may be assigned by your manager)
      • Track your KPIs weekly and be prepared to present them at team meetings:
        • of Tasks Past Due
        • of Tasks Blocked
        • Rework (tasks sent back to you for correction)

*Although these are your main responsibilities, this job might encompass other tasks as well.
